Helpful Tips for Administration



Effectively communicate and collaborate with faculty, staff, and students using email, websites, web applications, surveys, and more.


Email & Mailing Lists

Email is one of the most effective ways for sharing information and connecting with people, including fellow UBC faculty and staff. If you plan on emailing a larger number of people or sending multiple emails to the same group of people, you can save time by using an existing UBC mailing list or creating your own mailing list.

We offer support for Arts faculty and staff for the setup, training, and troubleshooting of email and mailing lists.

Helpful tip: Create a generic email account so it’s easy for your audiences to contact your unit and so multiple people within your unit can access the inbox. For example, instead of having people contact you directly (first.lastname@ubc.ca), they can contact a department email (unit.purpose@ubc.ca).


Calendars

Calendars are a great way to stay organized and to schedule meetings for collaboration and knowledge sharing.

We offer support for Arts faculty and staff for the setup, training, and troubleshooting of calendars.

Helpful tip: Create a generic calendar account for your unit to keep track of vacations and holidays. For example, your team can create a generic calendar account that can contain a shared vacation calendar (unit.calendars@ubc.ca) so everyone on your team can see availability.


Printers

Arts ISIT provides support on setting up and troubleshooting local USB or departmental network printers. We can also offer advice on what printers to purchase.


Technology Borrowing

We have an extensive library of audio and video equipment you can borrow for research, educational, or administrative purposes, such as teaching or hosting meetings or events.

Helpful tip: Borrow our Owl Meeting Camera for hosting engaging hybrid meetings.


File Collaboration & Storage

File storage, sharing, and collaboration are important functions of everyday work, especially if these files are securely cloud-based where you can access them any time and any place.

We offer support for Arts faculty and staff for the consultation, setup, training, and troubleshooting of file storage, sharing, and collaboration solutions.

Helpful tip: Leverage Microsoft Teams and OneDrive for seamless file storage and collaboration.


Websites

External websites (for example, your unit’s main website on UBC CMS or Arts CMS) and internal websites (for example, your unit’s knowledge base on AIR) are great tools for sharing information with your audiences.

We offer support for Arts faculty and staff for the consultation, setup, training, and troubleshooting of websites.

Helpful tip: Keep information and documentation for faculty and staff on your Arts Internal Resources (AIR) site and keep information for students and community partners on your UBC CMS or Arts CMS site.


Web Applications

Web applications can be used to help streamline daily tasks, such as booking meeting rooms with our Meeting Room Booking System (MRBS) or archiving large amounts of digital items with our Arts Digital Collections (ADC).

We offer support for Arts faculty and staff for the consultation, setup, training, and troubleshooting of Arts web applications.

Helpful tip: Allows faculty, staff, and students to view available rooms or equipment and book them for their tutorial sessions, meetings, collaborations, and other student-centred uses through MRBS.


Surveys

Surveys can be used for a variety of academic purposes, including gathering research data, conducting polls, gaining insight into student understanding, and developing metrics to compare course/program delivery from term-to-term.

We offer support for Arts faculty and staff for the consultation and training of Qualtrics, UBC’s recommended survey platform.

Helpful tip: Consider leveraging data that is already available to you, whether it’s through UBC PAIR, Arts Tableau (limited access), or your website’s analytics (Google Analytics), instead of sending out a survey to help lessen survey fatigue across UBC.
