Microsoft OneDrive UBC’s preferred method of data-storage. OneDrive is a FIPPA-compliant file-hosting cloud service where you can store your files, share them for collaboration, and access them at any time from your various devices. A UBC Microsoft 365 subscription gives you 1 TB of data storage. You have the ability to share your documents within and outside of UBC, and also control who can view, edit, and download your documents.
How Can I Use Microsoft OneDrive?
Storage
With your UBC Microsoft 365 subscription, store up to 1 TB of files in the cloud. Your files will be stored privately unless you decide to share them.
Share
Manage who can edit, view, and download your documents and folders. Share them as a link or through email.

Limitations

Link sharing is disabled for users who do not have a UBC account
- Working on files using the desktop application sometimes produces document conflicts
- The online version of document processors (Word, Excel, and PowerPoint) are limited when compared to the offline desktop application
- Editing OneNote documents on OneDrive while others are editing the file often produces conflicts and is not recommended for collaboration

Windows XP and Linux do not work with the OneDrive desktop or mobile applications
- Students are required to activate their CWL@student.ubc.ca account from the UBC CWL myAccount page
Getting Started
As a UBC employee or student, you automatically have access to a UBC Microsoft 365 account. Students can renew their Microsoft UBC 365 account by accessing the Microsoft Web Portal.
Access through the Microsoft Web Portal
We recommend using the Microsoft Web Portal to access Microsoft OneDrive, especially when collaborating with others, as it is more responsive than the desktop application.
- Access Microsoft OneDrive through the web portal. The web browser is supported in Microsoft Edge, Google Chrome, Firefox and Safari.
- If you are a current UBC employee, you can log in to using your Firstname.Lastname@ubc.ca email and UBC CWL password. You do not need to complete any prior steps to be able to log in.
- If you have issues logging in or do not currently have a Firstname.Lastname@ubc.ca email address, please contact us using the form at the bottom of the page.
Access through Microsoft OneDrive application
You can also download the Microsoft OneDrive application to your Apple computer, Windows computer or mobile device. The application is not available in Windows XP and Linux.
- Once you install the application, launch it from your computer or your mobile device.

Link sharing documents and folders is possible with people at UBC but not with users outside UBC. To enable links:
- Click on the share icon next to document name
- Choose People in UBC with the link
- Decide whether you would like to Allow editing and select Apply
- Select Copy link to copy the link to send someone at UBC via another application.
To share editor access
- Click on the share icon next to the file name
- Choose People in the UBC with the link or Specific people as your sharing method
- To give editor access, check off the Allow editing box
- Select Apply
- The Send link window will open where the document can either be shared via email (UBC and non-UBC recipients) or through a link (only UBC recipients)
How to share your document for review
- Click on the share icon next to the file name
- Choose People in the UBC with the link or Specific people as your sharing method
- Check off the Allow editing box
- Turn on the Open in review mode only setting
- Choose Apply
- The Send link window will open where the document can either be shared via email (UBC and non-UBC recipients) or through a link (only UBC recipients)
How to only give viewing access and block downloads
- Click on the share icon next to the file name
- Choose “People in the UBC with the link” or “Specific people” as your sharing method
- Do not check off the Allow editing box
- If you would like to block the user from downloading the document, turn on the Block download option
- Choose Apply
- The Send link window will open where the document can either be shared via email (UBC and non-UBC recipients) or through a link (only UBC recipients)
Email is the only way to share a file with someone who does not have a UBC Microsoft account. To provide access:
- Click on the share icon next to the document’s name
- Choose “Specific people”
- Decide if you would like to allow editing
- Click on Apply
- Fill in the blank with the person’s email address
- Select Send
They will receive an email stating that they have been shared a file. To access the file, they will need to do the following:
- View the email and click on Open. This will direct the user to a new tab
- Click Send Code. The account verification code will be sent in a separate email
- To access the file, please fill in the Enter code area with the account verification code
- Choose Verify to access the file
Tip: OneDrive emails can sometimes end up in the Spam folder. Please check your Spam folder if you cannot find the email in your inbox.
To remove someone’s access to a shared file
- Click on the three-dots icon next to the file’s name
- Select Manage access
- Click the cross icon beside the name of the person you want to remove access
- Choose Remove to confirm
To delete a sharing link, so that people using that link lose access
- Click on the three-dots icon next to the file’s name
- Select Manage access
- Click on the three dots next to the link
- Click on the cross icon to delete the link
- Choose Delete link to confirm
To remove all shared access so that the file is only viewable by the author
- Click on the three-dots icon next to the file’s name
- Select Manage access
- Choose Stop sharing
- Click on Stop sharing to confirm
If you have editing or reviewing access to a file, you can make comments on a document and assign them to a specific user. The assigned user will get an email notification stating “… assigned you a task” and will be able to view the comment on the email. To comment and assign it to a user:
- Open the document
- Click on Insert from the bar at the top
- Choose New Comment
- Use @ to mention someone in the comment. UBC users’ names and emails are registered in the directory, so you can find them by typing their names.
- Write the comment and check off the “Assign to …” box
- If you had already shared the document with that person, you do not need to do anything else. The assigned user will be notified by email.
- If you had not already shared the document with that user, OneDrive will ask you to confirm whether you would like to share the document and notify them of the comment.
You can restore, delete or open previous versions of your document by going to Version History. Under Version History you can view the date the document has been modified and who modified it. To access version history:
- Click on the three-dots icon next to the document’s name
- Choose Version History from the drop-down menu
- Click on the three-dots icon next to the version you prefer to restore, open or delete that specific version
Editing mode allows you to make any changes on the file. You can add comments and track the latest edits done by other collaborators.
Reviewing mode allows you to add comments and suggest changes on the document. Anything you type on the document will show up as red, meaning that it will be a suggestion that needs to be approved. You can also track the latest edits done by other collaborators.
Viewing mode allows you to view the document, but make no changes. You cannot suggest changes or add comments. You also cannot view the latest edits done by other collaborators.
