UBC has a legislated responsibility to safeguard any Personally Identifiable Information (PII) of its students and staff. PII is defined by the University Counsel as “recorded information about an identifiable individual other than contact information.” Contact information refers to the business telephone number, address, and/or email of all UBC employees, faculty members, volunteers, and service providers, but not of its students. Further details on what is considered PII can be found in the Privacy Fact Sheet. Other forms of sensitive information include:
- Photographs
- SIN
- Fingerprints
- Employee number
- CWL ID
- Student ID
- Student addresses
- Student emails
- Student phone and fax numbers
- Socio-demographic information
- Medical histories (including emails detailing an illness), and so on.
To protect the privacy of individuals whose information is being collected, as well as the overall privacy of your unit, review the guidelines below on collecting PII, storing and securing PII, and working with PII off campus (either abroad or from home).
